POSITION TITLE:         Administrative/Accounting Assistant

REPORTS TO:              Chief Executive Officer (CEO)

STATUS:                      Non-exempt, support staff position

Salary Range:             Mid $20k

BASIC FUNCTIONS:    To provide primary administrative support and assistance to the Chief Executive Officer and Chief Financial Officer (CFO.

Specific responsibilities:       

Office Management

  1. General office support and customer service in cooperation with interns and volunteer receptionists – included are greeting visitors, and keeping office clean, neat, and organized.
  2. Oversees office machine repairs and maintenance.
  3. Purchases or orders and maintains adequate office supplies.
  4. Receives, sorts, and distributes mail. 
  5. Works with CFO to store and maintain physical records and files according to the UWDC records retention policy.
  6. Performs other duties as needed or assigned.

Accounting and Data Management

  1. Ensure accurate and timely maintenance of database systems including updating all files in management information system, inclusive of hard copy systems, related to assigned areas of responsibility.
  2. Assists in preparing campaign reports and data mining operations for campaign staff using ANDAR and Excel.
  3. Assists in design and revisions of financial procedures to ensure the effective use of available technology.
  4. Audit employee campaign envelopes and prepare for input.
  5. Assist with campaign batching and SECC batching.
  6. Backs-up office server and ANDAR server.
  7. Preparation of daily bank deposits, cash receipting and other financial procedures assigned.
  8. Know both manual and electronic filing systems and file materials quickly.
  9. Data processing—ensure information integrity and timeliness through accurate data entry in donor database---corporate and employee pledges, cash gifts, credit card gifts etc. as well as updating all contact information provided.
  10. Distributes mail.
  11. Reconcile deposits for all daily campaign envelopes.
  12. Process credit card billing of campaign pledges.
  13. Assist with monthly billing of campaign pledges.
  14. Assist with monthly reconciliation of all bank accounts.
  15. Process billing for special events, sponsorships and projects, providing appropriate follow-up.
  16. Assure Patriot Act compliance for all organizations receiving designations through the United Way campaign.
  17. Performs other duties as needed or assigned.

Administrative

  1. Provides administrative assistance to the CEO and CFO.
  2. Takes and/or prepares meeting notes.
  3. Provide clerical support (copies, mailings, materials prep) for the UWDC Board of Directors, the Executive, Finance and Administration, and Nominating committees, and all sub-committees related to these groups such as, strategic planning and other ad-hoc committees of the Board as assigned.
  4. Prepares correspondence using word processing skills and systems.
  5. Provides coordination and organization of all administrative and finance files.
  6. Prepare documents as directed.
  7. Complete large bulk mailings with appropriate assistance.
  8. Performs other duties as needed or assigned.

Qualifications:           

Some college is required in addition to at least three years of administrative assistant experience.  Excellence in word processing, data processing, 10 key by touch, and data mining.  Proven capacity to learn new information management systems related to word processing and data management.  Must possess good organizational skills and demonstrate a willingness to work as a part of a team.  Needs solid interpersonal skills and has the ability to work effectively in a fast-paced office environment.
